The challenge
Ramco Group Industrial Park hosts dozens of separate companies on one site, each with their own visitors, staff, contractors, vendors, and incoming or outgoing goods. Everything — visitor sign-in, dispatch, and employee vehicle movement — was previously tracked using paper books, which made it difficult to handle bulk visitor arrivals for different companies at the same time, get timely printed or exported records, or produce anything an auditor could rely on. With multiple gates in operation, the park also needed a way to run different check-in devices at each entrance while still managing everything centrally.
The solution
Ramco Group Industrial Park now runs the full Mgeni VMS feature set across the site: visitor walk-in and drive-in check-in and check-out, employee walk-in and drive-in tracking, inbound and outbound dispatch, and dedicated contractor and vendor management — all kept distinct per company inside the park. Pre-booking and pre-registration let visitors, contractors, and vendors be scheduled in advance, with hosts and visitors notified automatically. Multiple gates run their own check-in devices while feeding into the same central system, and management gets a live headcount of everyone on the premises at any moment, alongside dashboard analytics, insights, and periodic reporting scoped automatically to each user’s role. The paper books previously used for visitor management, dispatch and vehicle tracking, and employee vehicle management have all been retired, records can now be exported and printed on demand, and the system keeps a full history that auditors can review going back years — with access logs that keep the park fully compliant.
