Warehousing & Distribution
Sai Office Supplies Limited
A high-traffic warehouse gate moved off paper books and manual dispatch photos onto Mgeni VMS, gaining a live headcount and print-ready automated reports.

The challenge
As a warehouse, Sai Office Supplies’ gate on Funzi Road sees a high volume of movement every day — visitors coming in for deliveries alongside constant outbound dispatch. All of it was tracked using paper books, which were slow to work with and unreliable whenever the team needed to look something up for an audit or respond quickly to a query. Dispatch was even more labour-intensive: staff had to photograph goods and paperwork manually just to be able to piece together a report afterwards, which took real time out of the day.
The solution
Sai Office Supplies now runs visitor management, dispatch, and delivery tracking through Mgeni VMS instead of paper books and manual photo records. The dashboard gives the team a live headcount of everyone on the premises at any moment, along with automated reports and analytics generated directly by the system — reports the team now only needs to print and file rather than compile by hand. What used to be a manual, after-the-fact process for both visitors and dispatch is now handled in real time as movement happens at the gate.

Our gate sees a lot of movement — deliveries, visitors, dispatch, all day. We used to run all of that on paper books and photos, which made audits and quick answers difficult. With Mgeni VMS we manage our visitors, deliveries, and dispatch from one system, get a live headcount, and the reports come straight from the platform. We just print and file — everything else is automatic now.
