Commercial Office / Multi-Tenant Building

The Odyssey Building

Ten companies, one address — visitor, employee vehicle, contractor, and vendor movement managed from a single system, with each tenant seeing only their own data and the building staying compliant with the Kenya Data Protection Act.

The Odyssey Building

The challenge

The Odyssey Building on Muthithi Road, Westlands hosts around ten separate companies under one roof. With that many tenants sharing a single reception and gate, building management needed a way to handle a constant flow of visitors, employees arriving by vehicle, contractors, and vendors without creating bottlenecks or losing visibility into who was on site at any given moment. Just as important, each tenant needed their own visitor data kept separate and handled in a way that satisfied the Kenya Data Protection Act — a requirement that only got harder to manage on paper as the building filled up.

The solution

The Odyssey Building deployed Mgeni VMS across the property to manage all movement types from one dashboard: walk-in and drive-in visitor check-in and check-out, employee vehicle tracking, and contractor and vendor management. The pre-booking and pre-registration feature sees heavy use — tenants schedule expected visitors in advance, visitors arrive with their details already in the system, and reception handles each arrival quickly with no back-and-forth. Role-based access means every company in the building can log in and see only their own visitor records, reports, and analytics, rather than a shared, building-wide log — which has let the building stay aligned with Kenya Data Protection Act requirements for several years running. Automated reports and notifications keep building management and individual company hosts informed throughout the day.

With so many companies in the building, managing who comes in and out used to be a challenge — and keeping each company’s visitor data separate made it harder still. Mgeni VMS gives us one place to handle visitors, employee vehicles, contractors, and vendors, while each tenant only ever sees their own records. It has kept us compliant with the Data Protection Act for years now, and arrivals are simply smoother.
